What we collect

Only what an application form can ask for, plus what it takes to run your account:

  • Your resume and any variants you create.
  • Your profile answers, including work eligibility, sponsorship, experience, education, pay

expectations, and availability.

  • Writing samples and the voice you picked, used for open questions like why you want a role.
  • Your job preferences, the postings we matched, and a receipt for every application.
  • Your email address, sign-in records, and a billing record. **Card details go straight to our

payment processor and we never hold them.**

How answers are labelled

Every answer we submit is labelled on the receipt with one of six sources: from your profile, from your resume, derived, inferred, left blank, or you edited this. A blank answer is shown with its source rather than hidden. Derived and inferred answers are worked out from what you gave us. They are our best reading, not a verified fact about you, and you can edit any of them or leave the setting on that holds them for you before sending.

What we use it for

To match you to postings, complete and submit the applications you queue, show you the receipts, take payment, and answer you when you write to us. That is the whole list. We will not sell your information or share it for advertising. We will not use your resume, answers, or writing samples to train models for anyone else, and we will not show them to another user or publish them. We do not build a profile of you for any purpose other than filling your applications, we do not enrich your record with data bought from anyone, and we do not pass your details to recruiters, lead lists, or job boards.

What employers receive

The employer and the application system they use receive whatever their form asks for, which is usually your contact details, work history, resume file, and screening answers. From that point their own privacy practices apply and ours do not. Applications send from your own email address, so an employer's reply goes to your inbox and never passes through us. It is also why we cannot show you reply, interview, or offer counts anywhere in the product.

Who else touches it

Hosting and storage, a payment processor for billing, and email delivery for sign-in links and notices. Each one receives only what it needs, works to our instructions, and may not use your information for its own purposes. We do not load third-party fonts, analytics, or advertising trackers on any page that shows your resume or your answers. We will disclose information if the law requires it, to respond to a valid legal process, to protect someone's safety, or to establish or defend a legal claim. Where we are allowed to tell you, we will. If the business is ever sold or merged, account records may transfer with it. The buyer would be bound by this policy, and we would tell you before anything changed.

Security

Information is encrypted in transit and at rest, access is limited to the people who need it, and resume files are held separately from the rest of your record. No system is completely secure and we cannot promise it will never be breached.

Where it is held

Information is held on servers in the United States, and our providers may process it elsewhere. Where information moves out of the country you live in, we rely on the safeguards the law provides for that transfer.

How long we keep it

While your account is open, your profile, resumes, writing samples and receipts stay, because a receipt is evidence of what an employer was told. When you delete your account, your profile, resumes, writing samples and job preferences are removed within 30 days. Backups age out within 90 days. Receipts are the exception, and we keep them for seven years. A receipt records what was submitted on your behalf and to whom, and it is the only evidence either of us has if a payment or an application is later questioned. Keeping it protects you as much as us. Billing records are kept for as long as tax law requires and hold no resume content. If you want your receipts removed earlier, write to info@applyscout.io and we will tell you what we can remove and what we are required to keep.

Cookies

One cookie keeps you signed in. There are no advertising cookies, no cross-site tracking, and no third-party scripts watching what you do in the product.

Your rights

Depending on where you live, you can ask for a copy of your information, ask us to correct or delete it, ask us to limit how we use it, object to how we use it, or ask for it in a portable form. Write to info@applyscout.io and we will respond within the time the law allows. We will not charge you for asking, and we will not treat you differently for having asked. If you are in California, you can make these requests under the CCPA as amended by the CPRA. We do not sell personal information and we do not share it for cross-context behavioural advertising. If you are in Canada, PIPEDA applies, and in Quebec, Law 25.

Children

ApplyScout is not for anyone under 16, and we do not knowingly hold information about anyone younger. If you think a child has an account, write to us and we will remove it.

Changes

We will email you before a change that affects how we use what we already hold, and the date at the top always shows the current version. For anything on this page, write to info@applyscout.io.
